Participation Agreement

This Participation Agreement outlines the terms and conditions for taking part in activities, programmes, and training sessions at Penthwell Farm. By booking or participating in any activity, you agree to the following:

1. General Expectations

  • All participants, visitors, and accompanying adults are expected to behave respectfully toward staff, animals, property, and fellow visitors.

  • Please follow all instructions provided by staff for your safety and the wellbeing of animals.

  • We reserve the right to ask anyone to leave if behaviour compromises safety, welfare, or the enjoyment of others.

 

2. Health & Safety

  • Farms are working environments; please remain in designated areas and follow safety signage.

  • Suitable clothing and footwear must be worn for outdoor and hands-on activities.

  • Any allergies, medical conditions, or additional needs must be disclosed during booking so we can ensure appropriate support.

  • Children must be supervised by a responsible adult at all times unless otherwise specified.

 

3. SEN, Adaptive Training & Individual Support

  • We aim to accommodate additional needs wherever possible.

  • Please provide accurate information about the participant’s needs so sessions can be planned safely and appropriately.

  • If one-to-one support is required, please inform us before attending so adequate arrangements can be agreed.

 

4. Animal Welfare

  • Our animals are handled ethically and with respect at all times.

  • Participants must treat all animals gently and follow staff instructions during any interaction.

  • We reserve the right to modify, pause, or cancel animal interactions if welfare concerns arise (e.g., stress, weather conditions, or animal health).

 

5. Adaptive Dog Training

  • Handlers are responsible for their dog’s behaviour while on site.

  • Dogs must remain on a lead unless instructed otherwise by a trainer.

  • All dogs attending must be up to date with relevant vaccinations or health requirements.

  • If a dog shows signs of stress or unsafe behaviour, we may adjust or stop a session for the wellbeing of all involved.

 

6. Accessibility

  • We are working towards installing accessible toilets; please contact us before your visit if you have specific accessibility needs.

  • Adjustments for sensory needs, mobility, communication, or anxiety are available—please let us know in advance so we can support you effectively.

 

7. Booking, Cancellations & Refunds

  • Bookings are confirmed once payment is received (if applicable).

  • Any cancellations must be made in writing to penthwellfarm@outlook.com

  • Cancellations made within 48hours may be eligible for rescheduling or partial refunds, depending on the programme.

  • Sessions cancelled by the farm due to weather, safety, or staff illness will be rescheduled or refunded.

 

8. Weather & Activity Adjustments

  • As a working farm, activities may change depending on weather, animal needs, or safety considerations.

  • If an activity must be altered, equivalent alternatives will be offered where possible.

 

9. Photography & Media

  • We may occasionally take photographs for promotional purposes.

  • You will be asked for consent before any identifiable images are taken or used.

  • You may request not to be photographed at any time.

  • Do not photograph other participants without their permission.

 

10. Personal Belongings

  • Please keep valuables with you.

  • We cannot accept liability for lost, damaged, or stolen property.

 

11. Liability

  • Participation is at your own risk.

  • We take all reasonable steps to ensure safe, high-quality experiences, but Penthwell Farm cannot be held responsible for injuries resulting from failure to follow instructions or behaviour outside of staff supervision.

  • Nothing in this agreement limits your statutory rights.
